ADMIN POSITION AGREEMENT Admin/Office Manager This position is accountable for helping run the office and completing day to day activities that allow the company to meet its goals and for ensuring that the company runs smoothly day-to-day.

While we don't expect you to be an expert in all of these areas, we do expect you to want to learn how to do these tasks.
Love your job and it will show! Answers and returns office phone calls and delegates incoming calls and emails to appropriate people when necessary.
Responds to emails within 24 hours and phone calls ideally within 2 hours, but no more than 24 hours and with a positive attitude Schedules patients in office and over the phone, to include reschedules and cancellations for all services and Therapists of the company.
Ensures that ALL clients (for Physical Therapy and other services) are effectively and efficiently ushered in and out of their services when working on site.
Ensures the proper management of payments, patient data into EMR, scheduling, and other software.
Remains knowledgeable on services the company offers, so that questions, concerns, and or comments can be intelligently answered.
Monitors performance of staff and facility on a weekly basis and provides feedback to CEO/Owner.
Ensures the smooth execution of the day-to-day operations of the company.
Ensures that the office, clinic, and gym stay in a clean state.
Disposes of trash, paper towels as needed, vacuum, mop, change pillow cases, etc.
Sanitizes common room equipment after each patient use.
Opens and closes the office as needed.
Manages, orders, re-orders inventory including products, supplies, or equipment in a timely fashion and so as not to interrupt day to day operations.
Completes tasks requested by the owner in a timely and effective manner.
Assists in setting up and implementing new systems and processes that will help the company operate more efficiently and effectively.
Assist with filming, editing, and posting social media posts/videos Reconcile insurance payments and troubleshoot why claims aren't getting paid, verify the client's insurance, explain to the client what their financial responsibility will be.
Perform routine administrative duties in a timely manner such as insurance verification, data entry and collection of co-payments with attention to detail Provide a welcoming and encouraging environment for clients and warmly greet every patient with eye contact, a smile, and a positive statement Instruct, motivate, safeguard and assist patients practicing exercises and functional activities, under direction of Physical Therapist.
Assist with documenting patient's subjectives and therapy treatments performed Accurately register patients according to company policy and procedures and ensure required forms are completed and signed by patients.
